Can I delete a chart of accounts?

Summary

The Data page is a cumulative import source, and each import contributes to the account mapping conditions of the engagement. Accounts can be mapped manually within MindBridge, or automatically by importing a chart of accounts file or account list. Once imported, a chart of accounts file or account list cannot be deleted, but they can be overwritten.


Resolution

If you have imported an incorrect file, or need to remove unused mappings, you can:

Re-import an updated chart of accounts

Importing a new or updated chart of accounts file will override existing mappings applied to the general ledger and trial balance account numbers. This means that account mappings can be updated, but any analyses that use the existing account mappings will have to be re-run.

  1. Follow the most appropriate course of action:
    • If the accounts have not yet been verified, select Verify accounts in line with the analysis name.
    • If the accounts have already been verified, open the more actions menu ( More_actions_menu_icon.svg ) in line with the analysis name and select View accounts.
      You will go to the Account grouping step of the Verify accounts workflow.
  2. Select Next.
    You will go to the Account mapping step.
  3. Open the Actions menu near the top of the page.
  4. Select Import account list.
  5. Select the chart of accounts file from your computer.
    Once imported, you will go to the Data Validation step of the import process.
  6. When you are satisfied, select Next.
    You will go to the Map Columns step.
  7. Map the columns as desired.
  8. When you are satisfied, select Next.
    MindBridge will now use this chart of accounts file for account mapping.

Export and re-import the account list

Export all account mappings, apply any needed modifications to the account mappings, and re-import the updated version. This will override existing mappings.

You can also manually modify account mappings on the Account mapping page, however this can be time-consuming if many changes are needed.

Note: Removing account mappings from the Excel export will not delete them from MindBridge upon re-import.

Remove unused mappings

Note: An "unused mapping" is a mapped account that exists in the engagement's chart of accounts that is not present in any of the imported financial data (general ledger, opening balance or closing balance files). The chart of accounts contains account numbers found in the general ledgers and opening and closing balances, and are applied across the entire engagement. Deleting unused mappings will only delete mappings assigned to account numbers not found within any not found in the imported general ledger or opening or closing balance files.

If you have imported an incorrect file:

  1. Follow the most appropriate course of action:
    • If the accounts have not yet been verified, select Verify accounts in line with the analysis name.
    • If the accounts have already been verified, open the more actions menu ( More_actions_menu_icon.svg ) in line with the analysis name and select View accounts.
      You will go to the Account grouping step of the Verify accounts workflow.
  2. Select Next.
    You will go to the Account mapping step.
  3. Open the Actions menu near the top of the page.
  4. Select Remove unused mappings.
    A pop-up window will appear.
  5. If you are certain you want to remove unused account mappings select Remove.
    All unused mappings will be removed from the engagement.
