Data connectors: Connect yourself

Summary

Data connectors allow you to import all available data needed for an analysis at once, right from the source.

Anyone on your team with appropriate permissions in one of the available financial management systems can quickly and easily connect to a data source. 

Learn how to:

  1. Connect yourself to a data source (or help an onsite client to connect)
  2. Set up the correct analysis periods and select which file types to import
  3. Sync data
  4. Disconnect a data source
  5. Reconnect a data source


Go to the Data page

  1. Select the logo in the MindBridge sidebar
    You will go to the Organizations page.
  2. Select View in line with the desired organization, or click anywhere in the organization row. 
    You will go to the Engagements page.
  3. Select View in line with the desired engagement, or click anywhere in the engagement row. 
    You will go to the Data page for that particular engagement.

Tip: If you are in an analysis, open the sidebar ( Sidebar open-close ) and go to the Data ( Data page icon ) page.


Connect to a data source

  1. Open the Actions menu at the top of the page.
  2. Select Connect data source.
    You will go to the Connect data source page.
  3. Select Connect myself.
  4. Use the menu to select the system you want to connect to, or select the appropriate logo below the menu:
    • QuickBooks Online
    • Sage Intacct
    • Xero (in beta)
  5. Select Next.
    You will go to a connection screen.
  6. Complete the authorization process for the system you selected.
  7. When the authorization process is complete, close the browser tab.
    You will go back to the Data page.
    Note: It may take a few seconds for the Data page to load.

Set up analysis and select file types to import

Note: You will have to perform the following steps for each analysis within the engagement.
  1. Go to the Data page and make any necessary changes to the current analysis period dates.
  2. Optionally, set up the analysis with the appropriate number of prior periods.
  3. When you are satisfied, select Configure data source.
  4. Select the connected data source.
  5. Use the checkboxes to select the files you want to import.
  6. When you are satisfied, select Sync.
    You will go back to the Data page.
    Note: A copy of each file will be added to the file manager.
  7. Select Continue import for each file and complete the import process as usual.
  8. Once the import process is complete, select Run analysis.

The gif below shows a demonstration of steps 1-6 for QuickBooks Online. Once connected, the gray analysis fields will change to a light blue, and the name of the data source will appear directly below the analysis name.

Note: The column mapping step is pre-mapped by default but will give you an opportunity to review the mappings and add custom categories.

Sync data

If you make changes to your analysis (for example, updating the analysis period dates or adding new prior periods) you can sync files as needed based on the new settings. When you sync files, any files that were previously imported will be removed from the analysis and replaced with the new files, however, copies of any previously imported files will still be accessible within the file manager.

  1. Open the more actions menu ( More actions menu ) in line with the analysis name.
  2. Select Configure data source.
  3. Find the connected data source and use the checkboxes to select the files you want to sync.
  4. When you are satisfied, select Sync.

Select Cancel any time to go back to the data page without syncing.

Resync data

You can resync the data within a single field (for example, General ledger) as needed.

  1. Open the more actions menu ( More actions menu ) in line with the file you want to resync.
  2. Select Resync data source.
    A confirmation window will appear.
  3. If you are certain that you want to replace the current file, select Delete.
    The previously file will be removed from the analysis and replaced with the new file. A copy of each previously imported file will still be accessible within the file manager.


Disconnect a data source

You can manually disconnect MindBridge from a data source. Disconnecting will not affect any data that has already been imported successfully, but will disable the ability to re-sync or sync new data.

  1. Open the Actions menu at the top of the Data page.
  2. Select Manage data source.
    This will take you to the Data Source page.
  3. Select Disconnect in line with the data source you want to disconnect from.
    A confirmation window will appear.
  4. When you are satisfied, select Disconnect.
    The data source will be disconnected.
  5. Select Cancel to go back to the Data page, or select Data ( Data page icon.svg ) within the MindBridge sidebar.

Disconnect a specific file from a data source

You can manually disconnect a specific file from a data source, as needed.

  1. Open the more actions menu ( More actions menu icon.svg ) in line with the file you want to disconnect.
  2. Select Disconnect data source.
    The file will be disconnected from the data source. 


Reconnect a data source

Each connection will expire after a pre-determined time set by your App Admin, but you can reconnect to a data source as needed.

  1. Open the Actions menu at the top of the Data page.
  2. Select Manage data source.
    This will take you to the Data Source page.
  3. Select Reconnect in line with the data source you want to connect to.

Connect/Reconnect a specific file to a data source

You can manually connect a specific file slot (for example, a GL in prior period 1) to a data source as needed. When you initiate a connection in this way, MindBridge will automatically try to sync the data for the given slot.

  1. Open the more actions menu ( More actions menu icon.svg ) in line with the file you want to connect.
  2. Select Connect to data source.
  3. If the file slot:
    • Contains a previously imported file, a confirmation window will appear. To replace the given file with new synced data, select Delete.
    • Is empty (for example, in the case of a new prior period being added after the initial sync), MindBridge will sync the data for the given slot.
